Executive Assistant Job Description Summary
Support the Executive Assistant in:
• Administrative duties such as scheduling meetings, arranging conferences and ensuring all meeting support is appropriately coordinated
• Manage travel arrangements (including international travel), expense reporting, maintaining management team calendars, taking and distributing meeting minutes, etc.
• Prepare correspondence, memorandum, reports, presentations, or other assigned documentation in specified software packages.
• Assist in preparing and maintaining departmental T&E budget.
• Administer programs, projects, or processes specific to the operating unit served and maintain spreadsheets or databases to monitor departmental information.
• Develop and produce reports as assigned
• Serve as administrative liaison with others within and outside the company.

Overview
We are seeking a highly motivated Executive Assistant to join our dynamic team. The ideal candidate will be organized, proactive, and capable of performing a variety of administrative tasks to effectively support our executives and ensure the smooth operation of the office.

Role Description:

* Provide administrative and secretarial support to SR Executive Assistants, including calendar management, travel organization, and document preparation.
* Coordinate meetings and conferences, including room reservations, preparation of materials, and minute-taking.
* Manage internal and external communications, including emails, phone calls, and correspondence.
* Conduct research, prepare reports, and presentations as requested.
* Maintain organized records and files, ensuring accuracy and confidentiality of data.
* Assist in budget preparation, expense processing, and other administrative financial tasks.
* Collaborate with other team members to achieve organizational goals and meet deadlines.

All About You/Experience:

* Academic background in Business Administration, Executive Secretariat, or related field.
* Previous experience in administrative or assistant roles is preferred.
* Strong organizational skills, multitasking ability, and attention to detail.
* Excellent verbal and written communication skills in English.
* Proficiency in MS Office suite and other office software tools.
* Ability to work independently and as part of a team, demonstrating initiative and accountability.
* Ability to handle confidential information with discretion and integrity.
